Cancellation Policy
Thank you for choosing Rachel Studio. Please carefully review our refund, cancellation, and rescheduling policies before booking your photography session. By confirming your booking and submitting your deposit, you acknowledge and agree to the following terms, subject to applicable law.
01. Booking & Deposit
A deposit equal to 50% of the total photography session fee is required to secure your reservation.
Your booking will be officially confirmed once the deposit has been received.
The remaining balance is due according to the payment instructions provided by Rachel Studio.
02. Deposit Refund Policy
For bookings made more than 7 days before the scheduled session date, clients may request a full refund of their deposit within 24 hours of payment.
After 24 hours, the deposit becomes non-refundable.
For bookings made within 7 days of the scheduled session date, the deposit is non-refundable immediately upon payment.
All refund restrictions are subject to the exceptions outlined below and applicable law.
03. Cancellation Policy
If a client chooses to cancel their photography session after the applicable refund period, the deposit will not be refunded.
The non-refundable deposit represents 50% of the total session fee.
No additional cancellation fee will be charged beyond the deposit, unless otherwise agreed in writing for additional services.
04. Rescheduling Policy
Clients may request to reschedule their photography session at least 7 days before the scheduled session date at no additional charge.
All rescheduling requests are subject to Rachel Studio's availability.
Rescheduling requests made less than 7 days before the scheduled session date will not be accepted, except under the applicable exceptions outlined in this policy.
05. Late Arrival Policy
Clients are kindly requested to arrive on time for their scheduled photography session.
If a client arrives late, the session will proceed with the remaining scheduled time.
The original session end time will not be extended due to late arrival.
The full session fee will still apply.
06. No-Show Policy
If a client fails to attend their scheduled photography session without prior notice, the reservation will be considered a no-show and will be canceled.
The deposit will be forfeited, subject to applicable refund rights.
No additional session fees will be charged for a no-show.
07. Weather & Outdoor Photography Policy
Outdoor photography sessions are subject to weather conditions.
Rachel Studio reserves the right to determine whether a session can safely and appropriately proceed based on weather conditions.
Light rain, cloudy skies, or unfavorable weather forecasts do not automatically qualify for cancellation or complimentary rescheduling.
If Rachel Studio determines that weather conditions make the session unsafe or impractical, complimentary rescheduling will be offered. The original deposit will be transferred to the newly scheduled session date, with no additional rescheduling fee.
Out-of-State & International Clients
For clients residing outside California or internationally who are unable to reschedule due to travel limitations, a full refund of the deposit will be provided if Rachel Studio cancels the session due to severe weather.
To qualify for this refund exception, clients must provide valid proof of residence outside California.
Acceptable documentation may include a government-issued ID showing the client's residential location or other official proof of residence. Sensitive personal information unrelated to residency verification may be redacted.
All rescheduled dates are subject to photographer availability.
08. Photographer Cancellation Policy
If Rachel Studio is unable to proceed with a scheduled photography session due to unforeseen circumstances on the photographer's side, clients may choose between:
- Complimentary rescheduling to another available date.
- A full refund of all payments made for the session.
Rescheduling is subject to photographer availability.
09. Flight Cancellation Policy
If a client's flight is canceled and the client is unable to attend their scheduled photography session, Rachel Studio will offer either:
- Complimentary rescheduling to another available date.
- A full refund of all payments made for the session.
Official flight cancellation documentation issued by the airline must be provided to qualify for this exception.
This exception applies to flight cancellations, not voluntary itinerary changes or personal travel schedule adjustments.
10. Refund Requests & Communication
All cancellation, refund, and rescheduling requests must be communicated directly to Rachel Studio.
Please include your name, scheduled session date, and relevant booking details when submitting your request.
